What does CRM mapping mean?

Synchronizing fields in snapAddy with the corresponding fields in your CRM system is referred to as CRM mapping. Through this field assignment, the data from snapAddy is transferred automatically into the correct fields of your CRM system.

CRM mapping: the bridge between snapAddy and your CRM

CRM mapping refers to synchronizing snapAddy fields with your CRM system. It determines how contact information is transferred. Correct mapping ensures data quality, efficient workflows, and a clean CRM. It defines the field assignment and can set default values automatically (for example, campaign IDs or user IDs).

Different customizations are possible depending on the product: BusinessCards needs simple contact data mapping, VisitReport needs advanced mappings for questionnaires and events, and LeadResearchs needs special mappings for data enrichment. 

Correct mapping ensures structured, complete, and consistent data transfer without any data loss.

Standard mapping: ready to use out of the box

For every CRM system, snapAddy provides standard fields that can be synchronized automatically. These typically include:

  • Name (first and last name)
  • Company/organization
  • Phone number
  • Email address
  • Address (street, postal code, city, country)
  • Position/title

Every snapAddy customer has a standard interface to the supported CRM systems available. You can connect directly and export leads, contacts, or accounts, entirely without any additional configuration. However, for most use cases we recommend an individual CRM mapping (see the next section).

Individual CRM mapping

If you want to fill more than just the standard contact fields, an individual system integration (mapping) lets you cover use cases such as the following.

Examples of an individual mapping:

  • Connect fields in snapAddy with (additional) fields in your CRM that differ from the CRM standard.
  • Fill custom fields in your CRM system with information such as "product interest, industry, project start" and more.
  • Would you like follow-up activities such as a meeting or a task to be created automatically in your CRM? With snapAddy, you can create tasks, meetings, notes, campaigns, and other entities.
  • Information that you have captured with snapAddy VisitReport as part of a custom questionnaire can be stored in a structured way in the existing fields in your CRM (for example, single- and multiple-choice selections or signatures).

Depending on the CRM system, certain limitations may apply; the snapAddy team will let you know about these after consultation.

How do I get an individual CRM mapping?

The mapping process: how implementation works

At snapAddy, creating an individual CRM mapping follows a structured, efficient process that usually takes only 4 weeks:
 

Week 1: onboarding and data collection

It starts with the snapAddy onboarding, during which our support team guides you thoroughly. In this first week, you provide us with all the required documents in full:

  • Field definitions: an overview of all the fields in your CRM system that are to be filled. Where can I download the field definitions?
  • Excel customer specification: your individual mapping requirements in a structured form. Depending on the solution you use, you will find the required information here:
  • VisitReport master template: this template, containing all the desired questions and fields, is required only for snapAddy VisitReport mappings. If you use only DataAgents, this point does not apply.

Important note: the two-week development phase only begins once all the required documents are available in full. Providing all documents on time and in full is therefore crucial for an on-schedule go-live.

Weeks 2–3: development by snapAddy

Over the following two weeks, our development team builds the system integration (mapping) according to your specifications. During this phase, we take care of the technical implementation so that you can focus on your day-to-day business.

Week 4: testing and go-live

In the fourth week, you test the finished mapping extensively in your own environment. You can check whether all fields are filled correctly and whether the corresponding tasks are created. After a successful test phase, your individual mapping is ready to use, for example in time for the start of your next trade show or event.
