Why should I connect my mailbox?

Your organization admin has invited you to connect your mailbox to snapAddy DataQuality Automation. By doing this, contact data from email signatures will be extracted automatically. This helps keep your CRM up to date and improves overall data quality — without extra manual effort.

What happens with my mailbox data?

snapAddy only analyzes emails in the selected top-level folders you choose during setup. From these emails, relevant contact details are extracted and suggested for enrichment in your CRM. No other emails or folders are accessed.

 

Please note that only plausible emails are converted into a contact suggestion to increase quality. Criteria for this are, for example, that the mail address in the signature matches the sender address.

How do I connect my mailbox?


Follow these steps:

  1. Go to your snapAddy Dashboard and open the Settings or click on the link in the invitation email from your organization admin.
  2. Select Mailbox connection.
  3. Choose your email provider (Office365 or IMAP).
    1. Office365: Sign in with your mailbox credentials and allow access.
    2. IMAP (any other mailbox): you can obtain the necessary settings either from your email provider or from your local administrator. In case of a Gmail account, please read the detailed instructions below (ANCHORLINK)
  4. Select the top-level folders you want snapADDY to analyze (e.g., Inbox).
  5. Save selection


Your mailbox is now connected — snapAddy will now scan incoming emails for contact data in email signatures. With Microsoft 365 this happens upon receiving an email, with an IMAP connection this happens every 15 minutes.

Gmail accounts require some additional security setup for IMAP connections to work:

  1. Activate Two-Factor-Authentication: https://support.google.com/accounts/answer/185839
  2. Generate App Password for snapAddy email suggestions: https://support.google.com/accounts/answer/185833
  3. Use the freshly generated password for the IMAP settings in snapAddy DataQuality


Can I disconnect my mailbox later?


Yes, you can disconnect your mailbox at any time in your snapADDY Dashboard under Settings → Mailbox connection.
