How can I change all fields of my users using an Excel file?

Follow these steps to update the fields of all your users at once via Excel:

1. Export list of all users

Go to "Users & licenses" in the User management. Then scroll down to the "Users" list, where you can see all users of your organization. Below the list, click the "Export list of all users (CSV)" button to download the profile information of all your users.

2. Edit profile fields

Open/Import the downloaded .csv file from step 1 in Excel. Now you can edit the values of the user fields as needed. 

For fields where more than one value can be set (multi select custom profile fields, user groups), please make sure to use ; as value seperator.

3. Update profile fields

Now go back to the "Users" list from step 1. Click on the "Update via Excel" button above the list. A modal opens up where you can upload the Excel file with edited values from step 2. After uploading your file, you need to map the columns of your Excel file to the fields in snapAddy. This should be done automatically, but in some cases you might need to do it manually.

Important Notes on Update Behavior

Please note the following important points when updating user fields:

Field Mapping:

  • Unmapped fields: Fields that you do not map will not be changed. The existing values of these fields will be preserved.
  • Mapped fields with empty cells: If you map a field and the corresponding Excel cell for a user is empty, the field for that user will be cleared. Existing values will be lost.

Multi-value fields (User groups and multi-select fields): For fields with multiple values (such as user groups or custom multi-select profile fields), the values are completely replaced, not added to. This means:

  • The values specified in the Excel file are set as the new, complete list
  • Any existing values not included in the Excel file will be removed
  • If you want to add a new group to a user, you must list all desired groups (existing + new) in the Excel file

 

Click on "Update" in the bottom right and the fields of your users will be updated according to your Excel file.
