# How do I download reports as Excel, PDF, etc. in the VisitReport dashboard?

## This guide shows you how to select one, several or all reports in the VisitReport dashboard and download them via the Actions menu as an attachment, Excel file, PDF file or vCard. The finished files then appear in the Downloads section.

In the VisitReport backend you select one, several, or all reports and download them via the **Actions** menu as an attachment, Excel file, PDF file, or vCard, or send them directly to a CRM or marketing automation system. Every generated file is then collected in the [**Downloads**](https://app.snapaddy.com/visitreport/downloads)area.

**Prerequisites:** Access to the Event in the VisitReport dashboard with a role that permits exporting reports.

### Step by step:

1. Open the report overview in the VisitReport backend and use the checkboxes on the left to tick the reports you need. Via the header checkbox, use **Select this page** for all reports on the current page or **Select all** for every report across all pages.

2. Check the **Status** column: the icons show which steps have already been completed – for example whether a PDF or Excel file has been generated, or whether the report has been transferred to the CRM. Highlighted icons indicate a completed step.

3. Click **Actions** in the footer. Hand the selection over directly via **CRM (no duplicate check)** or **Marketing automation**, or save the data in the **Download** area as **Attachments**, **Excel file**, **PDF file**, or **vCard**.

4. Go to [**Downloads**](https://app.snapaddy.com/visitreport/downloads)in the left-hand navigation. All completed exports are listed there with the report name, format, and completion time. Use **Download** to save the file locally, or **Delete** to remove an entry.

### How do I know when download is finished?

A new entry with the matching format and timestamp appears in the [**Downloads**](https://app.snapaddy.com/visitreport/downloads) section, and you receive the notification email. Use **Download** to open the file.

Files are available for download for 30 days and are deleted automatically afterwards. Be sure to download any exports you need in good time.

### Common questions and solutions

| Situation | Solution |
| --- | --- |
| Only the reports on the current page are selected | Use **Select all** in the header checkbox to include every page. |
| The generated file does not appear right away | The file is created in the background. Wait a moment, then reopen or refresh the **Downloads** area. |
| An older export can no longer be found | Files are deleted automatically after 30 days. In that case, trigger the export again. |
| No duplicate check runs during the CRM export | This is intentional for exports via this menu (see the “no duplicate check” note). |
