How do event-based Workflows work in snapAddy?
Event-based workflows are triggered by specific external events, such as receiving an email, submitting a web form, or scanning a business card. They automatically process, enrich, and transfer incoming contact data to the CRM system or other designated destinations.
What Are Event-Based Workflows?
Event-based workflows are an automated workflow type in snapAddy DataQuality that processes data as soon as it is triggered by external events or actions. Unlike periodic workflows that systematically work through existing CRM records, event-based workflows respond to specific triggers and handle new incoming contact data in real time.
Benefits of event-based workflows
Event-based workflows help you capture and process new contacts efficiently by:
- Processing data immediately when it arrives from various sources
- Enriching information automatically with verified data from reliable sources
- Ensuring data quality from the moment of first capture
- Saving time by eliminating manual data entry and validation
Typical use cases
Event-based workflows are ideal for:
- Processing new leads from various sources
- Capturing contacts at events and trade shows
- Integrating web form submissions into your CRM
- Enriching newly acquired contact information
- Handling incoming contact data from sales activities
- Automating contact capture from business cards
- Managing email bounces and contact status updates
How do event-based workflows function?
When a trigger event occurs, an event-based workflow receives the incoming data from the external source, then enriches and validates the information using snapAddy's data sources. It applies data quality rules such as duplicate checking and formatting before transferring the processed data to your CRM system or other targets.
The workflow can enrich and validate your data using multiple high-quality sources, such as the Company Data Search for comprehensive company information, the Email Validator for verifying and validating email addresses, and the Contact Person Search for enriching contact details using LinkedIn and other business networks.
Common triggers for event-based workflows
Event-based workflows can be triggered by various external sources:
- Email signatures – Extract contact information from email signatures
- Web forms – Capture and validate form submissions
- Excel files – Import and process contact data from spreadsheets
- LinkedIn profiles and Sales Navigator leads – Grab contact details from LinkedIn profiles and process leads from Sales Navigator (requires snapAddy Helper browser extension - learn more)
- Scanned business cards – Digitize and enrich business card information (requires snapAddy BusinessCards app - learn more)
- Email bounces – Handle bounced emails and update contact status
Event-based workflows in VisitReport
Event-based workflows can also be triggered by VisitReport reports that process visitor data from trade shows and events. This trigger requires a VisitReport license in addition to the DataQuality Automation package. VisitReport enables you to capture contact information during events and automatically process it through configured workflows.
Prerequisites
To use event-based workflows, you need:
- A snapAddy DataQuality license with a DataQuality Automation package (or a VisitReport license for specific VisitReport workflows)
- Access to the desired trigger sources (e.g., mailbox connection, web forms)
- Recommended: A CRM connection for direct export to the CRM system
Setting Up Event-Based Workflows
snapAddy offers pre-built templates for common use cases and trigger sources. These templates are optimized for typical scenarios and can be customized to meet specific requirements.

Managing Workflow Results
Event-based workflows are designed for extensive automation and process entities automatically without manual intervention. However, if needed, snapAddy DataQuality offers the contact suggestions feature for targeted quality control. Workflows can be configured to require manual review for certain fields or data types. This optional review process allows you to combine automation efficiency with targeted quality assurance for critical data points.
